Review School’s Lettings Policy: The school will provide the terms and conditions under which the facility can be rented. This may include rules around alcohol consumption, noise levels, security, and usage limits.
Insurance: The school requires you to have public liability insurance to cover potential accidents or damages during your event.
Security and Staffing: The school may require staff members (e.g., Site Operatives, Cleaners) to be present during the event to ensure everything runs smoothly and to monitor the property.
Access Arrangements: Make arrangements for gaining access to the facility on the day of the event. The school has specific procedures for opening and locking up the premises.
Setup Requirements: If you require a specific setup (e.g., furniture, equipment), you will need to confirm these details at least 48 hours before the event with the school and clarify any responsibilities for setting up and clearing the space.
Clear Up: During the event, it is the renter’s responsibility to ensure that the waste management policy (segregation of general, recycling & food waste) is adhered to during your hire period. After the event, it is the renter’s responsibility to clear all types of waste into the relevant bulk bins. If applicable, the venue is to be returned to the original layout at the time of the hire starting.
Secure Facility: Ensure the facility is secure as per procedures.
Final Inspection: A school representative may conduct a final inspection to ensure no damage has occurred, and the facility is left in good condition.
Final Payment: Once the event has concluded and any necessary deductions are made for damage or additional services, the final payment is processed. The schools may request final payment before the event, while others may do so afterward, in coordination with finance.
